Working draft
This page describes how Beacon Governance actually works and what using it involves. It is written by the team that built the product, not by a lawyer, and the binding commercial terms are still being prepared. Nothing here creates or limits a legal obligation. If you are evaluating Beacon for an organisation that needs a signed agreement first, contact us and we will work from your paper.
What the service is
Beacon Governance turns descriptions of your business processes into Standard Operating Procedures, checks them against the regulations relevant to your industry and jurisdiction, keeps every version, and monitors published regulatory sources so that documents affected by a rule change can be flagged for re-review.
What it is not
Beacon does not give legal advice, and its output is not a compliance certification. Documents are produced by AI models and can be wrong, incomplete, or out of date. Every document has an explicit review-and-approval step for exactly that reason — a generated draft is a draft until a person in your organisation reviews and approves it. Regulatory monitoring covers the sources Beacon has been built to read; it is not a guarantee that every change affecting you will be detected. Treat Beacon as a very fast first draft and a watch list, and keep a qualified human in the loop on anything that matters.
Accounts
Accounts are created through Clerk. Each account belongs to one organisation and holds one of four roles: owner, admin, member or consultant. Owners and admins can invite people by email; an invitation names the role the invitee will receive, and ownership is not transferred by invitation. A consultant can be given access to a client organisation by that organisation, and that access ends immediately when the assignment is revoked.
You are responsible for the accuracy of what you enter, for who you invite, and for keeping your credentials and API keys secure. An API key is displayed once when it is created and stored only as a hash afterwards — it cannot be recovered, only replaced.
Plans and billing
Beacon is sold on subscription tiers — Starter, Pro, Business and Enterprise. Tiers differ in how many documents you may generate in a billing period, how often you may trigger a regulatory scan on demand, and whether you can point the product at your own AI provider. Exceeding your plan's generation allowance stops further generation until the next period or an upgrade; it does not affect access to documents you already have.
Payment runs through Stripe. Organisations that have never subscribed before start with a 14-day trial. You can change your payment method or cancel at any time through the Stripe Billing Portal, reachable from your account settings. Cancelling takes effect at the end of the period you have already paid for, and you keep access until then.
Acceptable use
- Do not use Beacon to produce material that is unlawful, or to misrepresent an AI-generated document as having been reviewed or certified by someone who has not reviewed it.
- Do not attempt to reach another organisation's data, to circumvent role restrictions, or to probe the service's infrastructure. Tenant isolation is enforced in the database, and access attempts are logged.
- If you configure your own AI provider, the endpoint you supply must be a genuine provider endpoint. The product restricts which hosts it will call, and internal or private network addresses are rejected.
- Do not resell or redistribute access to the service outside your organisation. The consultant role exists for legitimate multi-client work.
Your content
The documents and process descriptions you put into Beacon are yours. We process them to run the service — generating, auditing, versioning, exporting and monitoring — and we send them to the AI providers listed in the Privacy Policy for that purpose. Documents you export are yours to use however you like.
Data you must not submit
Working draft
This clause states a scope decision we have already made about what Beacon is built to handle. It is written in the same plain, engineer-written voice as the rest of this page, not by a lawyer, and it is not yet the finished contract term — treat it as binding intent we are asking you to follow now, ahead of the real legal review the rest of this document is also waiting on.
Beacon is built to work with descriptions of your processes and with publicly available regulatory material — not with the regulated records those processes touch. Do not submit protected health information (PHI), personally identifying information such as Social Security numbers or financial account numbers, or any patient-, client- or case-specific identifying detail into any part of the product — process descriptions, uploaded documents, audio or video you send for transcription, or anywhere else.
If an SOP needs to reference how you handle a record, describe the handling — who does what, in what order, under what control — rather than pasting the record itself in. Beacon is not designed, and is not contracted, to receive, store or process actual regulated data. You are responsible for the content you choose to submit, and we are not responsible for a decision to enter data the product was not built to handle.
Suspension
An organisation's access can be suspended by the platform operator — for non-payment, or for use that breaks the rules above. While suspended, users and API keys belonging to that organisation are refused. Suspension is reversible and does not by itself delete data.
Availability and change
Beacon is an actively developed product. Features change, and there is currently no published uptime commitment or service-level agreement. We will not pretend otherwise here.
Not yet settled
These belong in the finished agreement and are deliberately absent rather than guessed at:
- Limitation of liability, warranties and indemnities.
- Governing law and dispute resolution.
- Notice periods for termination by either side, and what happens to data afterwards.
- How changes to these terms will be communicated and when they take effect.
- Service level commitments, if any.
